FAQ

Questions, answered.

For summer camp directors and other seasonal employers: what the staff survey asks, what it costs, how anonymous it is, and what you see on your dashboard.

About Fathom

What is Fathom Staff?
Fathom is a confidential survey and dashboard that shows seasonal employers how their staff are really experiencing work. Staff answer privately, and you see the results as group patterns you can act on.
Who is Fathom Staff for?
Fathom is built for seasonal camps first (summer camps, day camps and overnight camps), and for other seasonal employers whose teams come together for a few months and then disperse. If your people arrive new each season and you want to know what is working before next season starts, it is for you.
How is this different from a survey we could build ourselves?
A homemade form measures whatever you thought to ask, and people tend to answer it carefully when they know you can see who they are. Fathom keeps answers anonymous to the camp, asks the same core questions at every camp so scores can be compared, and organizes results around four pillars a camp can actually change before next season. Plus, our team has a lot of experience with data and research. Check it out.

Getting started and running a survey

When should we survey our staff?
Send a deep dive once or twice a season, when you want a closer look at a pillar: near the start and again near the end, for example. In between, the short Season Pulse takes the temperature while there is still time to change something: send it every one to three weeks. Your dashboard stays open all year, so results are there when you plan the next season, recruit staff and group campers to give everyone the best experience possible.
How do staff take the survey?
Each person receives a link (sent by you, in whatever way is most convenient), enters their own email address, and types the six-digit code we send them. Then they answer the questions on their own. Everyone needs access to their email on whatever device they use.
What should we do before we send it?
Tell staff why you are asking, that you will never see who answered what, and that you will only see results for groups of five or more. Then give people a private moment to respond. The next question explains why that matters.
How do we get honest answers?
People answer honestly when they believe it is safe. Fathom never shows you who took part or what any one person said, and you can tell your staff exactly that. Their trust in that promise is the biggest factor in how useful your results will be.
How do we get started?
Choose the plan that matches your organization’s size, subscribe, and set up your profile. Your dashboard opens the day you subscribe.

About the surveys

How much does Fathom Staff cost?
Pricing is published in full on the pricing section. Pick your camp’s size and every number updates. Briefly, there are two plans, Professional and Enterprise, each priced by size (50 to 100, 101 to 200, and 201 to 300 seasonal staff). Plans are billed annually from the day you subscribe. A Pulse-only plan, Essential, will be available in 2028. More than 300 staff, several separate sites, or fewer than 50 staff? Get in touch and we will work it out with you.
How long does the staff survey take?
The Season Pulse is 16 questions and takes about three minutes. Send it every one to three weeks, on a regular cadence. The deep dive comes in four modules, one for each of our pillars: leadership, community, growth and wellbeing. Each module has 13 to 16 questions and takes about three minutes, and your camp picks which to send. A deep dive is sent separately from the Pulse, once or twice a season. A camp can also add three or four retention questions to any survey, usually at the end of the season. The first survey each person takes starts with a few quick questions about them (their role, seasons worked, whether they live on site, and their age, gender identity and race or ethnicity, which only Fathom sees); after that they are remembered.
Should staff take it individually or together?
Individually, and privately. Because it only takes a few minutes, the survey should feel easy and become part of your routine. Helping staff make it an every-other-week or every-third-week habit, and rewarding participation, only increases their engagement with it.
Do the surveys and dashboard work on phones or tablets?
Yes! Everything is built to work on whatever device you or your staff prefer to use.
Can staff use a shared tablet or camp computer?
Yes. A survey link leaves nothing behind on the device, so a tablet in the staff lounge or laptops during staff meetings work just fine. Talk to us about how Fathom can support your camp by providing additional devices specifically for administering surveys with your staff.
Can we add our own questions?
Every camp asks the same core questions, which is what lets you compare your results with other Fathom camps. Change them and that comparison stops meaning anything. Enterprise adds a personalized question set (coming soon): extra questions you choose from Fathom’s bank, added to your surveys alongside the core ones. We write and test every question in the bank, so the answers stay comparable. Talk to us about what you want to ask.

Your dashboard and your team

What do we see in the dashboard?
Group results for your camp, organized around the four pillars, which you can save as a PDF. You never see individual responses. Nothing is shown for any group smaller than five people.
Can more than one person sign in?
Yes. Up to ten people besides the owner can have access, each with one of three roles:
  • Owner handles billing.
  • Admins open survey windows, edit the camp profile, and add people.
  • Viewers (a board member, an owner, a unit head) see the results and save the PDF, nothing else.
Everyone sees the same group results, never who said what. We suggest at least two admins, so your surveys never depend on one login.
What happens when our director leaves?
Access is checked every year when your plan renews: your camp’s owner (for example the director, board president or CEO) confirms who still needs it, and everyone else on the team chooses a new password. The owner can also reset anyone’s password, or remove them, at any time. Your data stays with your camp, and a director who is leaving can hand ownership to an admin before they go.
Where can I find information about cancellations or changes to subscriptions?
Plans renew each year on the day you subscribed, and if you cancel before then you won’t be charged again. Your camp’s owner changes or cancels the plan under Subscription in Account & Settings. The rest is in our terms. We love talking about supporting your team, so don’t hesitate to reach out at hello@fathomstaff.com with any questions you may have.

About privacy

Is the staff survey really anonymous?
Yes, to your camp. Fathom never shows you who took the survey, who said what, or any one person’s answers, and nothing appears for a group smaller than five. That is the promise you can make your staff, and it is what lets them answer honestly.
Can staff under 18 take the survey?
Yes. Camp staff are often 15–17, and the survey asks the same questions. We don’t store their name, and no email address is kept unless they ask a leader to follow up and give one. Taking part is completely voluntary. If your camp has its own rule for surveying staff under 18, such as letting parents know, follow it as you would for any staff survey. Our privacy policy has a section for staff under 18.
Why do staff need an email address?
We email each person a six-digit code, so nobody who gets hold of the link can answer as them, and so their answers can be compared with their own from earlier in the season. The address is turned into a one-way code and never stored in a form anyone can read. You never see it.
Will we ever see a staff member’s email address?
Only if they choose to share it. If someone answering the retention questions asks a leader to follow up, the address they give goes to you, never together with their answers.
Can we see who took part?
No. Fathom never shows you individual responses or whether a particular person took part, only how many have answered.
Does the survey leave anything on a shared device?
No. Nothing about anyone’s answers stays in the browser when they finish, so a camp tablet or laptop can be passed from one person to the next.
Can a staff member have their answers deleted?
Yes. They email Fathom from the address they used and we remove their answers. We find them by making the same one-way code from that address, so we can do it without ever having stored it, and nobody at your camp can do that lookup.

Talking it through

Can we talk to someone about our results?
Yes, on the Enterprise plan: 30 minutes with us to talk through your results, booked with your Fathom contact. On any other plan, reach out to us at hello@fathomstaff.com for support.
Is that call a sales pitch?
No. That call is part of Enterprise. If a bigger piece of work makes sense, that is a separate conversation your camp would have to start.
How do I reach you?
We love to chat about just about anything, but especially about helping teams grow through their data. Email hello@fathomstaff.com.
